Privacy Policy
Effective date: October 18, 2026
This Privacy Policy explains how Zoe Ophelia Holdings LLC, a Washington limited liability company that operates InnHearth (“InnHearth,” “we,” “us”), collects, uses, and shares information through innhearth.com and the InnHearth booking engine and property management software (the “Service”).
1. Information we collect from our website
- Demo requests and contact. When you request a demo, we collect your name, property name, number of rooms, current system, email address, phone number, and any message you send. We also record the time of the request, your IP address, approximate country, and browser user agent to prevent spam and abuse.
- Emails and calls. If you email or call us, we keep the content of the conversation and your contact details.
- Technical data. Our hosting and security provider, Cloudflare, processes standard request data such as IP address, browser type, and pages requested to deliver and protect the site.
2. Information properties store in InnHearth
Lodging properties that use InnHearth (“Properties”) store data about their guests and business in the Service, such as guest names, contact details, stay history, preferences and notes, reservations, rates, and payment status. For this data, the Property is the controller (the business that decides why and how it is used), and InnHearth acts as a service provider that processes it on the Property’s behalf and according to its instructions. Guests with questions about their data should contact the Property directly; we will help Properties respond to requests.
3. Payments
Card payments are processed by Stripe. Card numbers are entered into Stripe-hosted fields and sent directly to Stripe; InnHearth does not store full card numbers. We receive limited information from Stripe, such as the card brand, last four digits, expiration date, and transaction status, so Properties can manage reservations, deposits, charges, and refunds. To enable payouts, Properties provide business and identity information to Stripe, which Stripe uses for verification and compliance. Stripe’s use of personal data is described in the Stripe Privacy Policy.
4. How we use information
- To respond to demo requests and questions, and to schedule demos.
- To provide, operate, secure, and support the Service, including migrating data from a Property’s previous system.
- To process payments and prevent fraud through Stripe.
- To send service, billing, and security messages.
- To meet legal, tax, and accounting obligations and enforce our terms.
We do not sell personal information, and we do not use guest data stored by Properties for our own marketing.
5. How we share information
We share information only with service providers that help us run the Service, under contracts that limit their use of it: Cloudflare (hosting, security, database, and email delivery), Stripe (payment processing), and email providers we use to communicate with you. We may also share information if required by law, to protect rights and safety, or as part of a merger or sale of our business, in which case this policy will continue to apply.
6. Cookies
Our website uses minimal cookies. We do not use advertising or cross-site tracking cookies or third-party analytics. Cloudflare may set strictly necessary security cookies to protect the site from bots and abuse. The InnHearth application uses essential cookies to keep users signed in. You can block cookies in your browser, though parts of the Service may not work.
7. Data retention
- Demo requests: kept for up to 24 months after our last contact with you, unless you become a customer or ask us to delete them sooner.
- Property data: kept for as long as the Property’s account is active. After cancellation, the Property may request an export within 30 days, after which we delete it within 90 days, except backups, which roll off on their normal schedule, and records we must keep by law.
- Billing and transaction records: kept as long as needed for tax, accounting, and legal purposes.
8. Security
We use encryption in transit, access controls, and reputable infrastructure providers to protect information. No method of transmission or storage is perfectly secure, and we will notify affected customers of a security breach as required by law.
9. Your choices and rights
You may ask to access, correct, or delete personal information we hold about you by emailing hello@innhearth.com. Depending on where you live, you may have additional rights under applicable law, including Washington law. We will verify and respond to requests within the time the law requires. If your information was provided by a Property, we may refer your request to that Property.
10. Children
The Service is for businesses and is not directed to children under 13. We do not knowingly collect their information.
11. Governing law
This policy is governed by the laws of the State of Washington. InnHearth is based in the United States, and information is processed and stored in the United States.
12. Changes
We may update this policy and will post the new version here with an updated effective date. If changes are material, we will notify customers by email or in the Service.
